You can add your personal Google, Apple or Outlook calendar to ShiftSync so its events show up alongside your shifts, in both the calendar and the agenda. The events are read-only — ShiftSync only reads them to display them, never changes them and never shares them with anyone else. You can add up to five calendars.

Each calendar app gives you a private ICS (also called iCal or webcal) link. Find it in your calendar’s settings:

  • Google Calendar — on a computer, open Settings → Settings for my calendars, pick the calendar, and under Integrate calendar copy the Secret address in iCal format.
  • Apple / iCloud — in Calendar on the web (or on a Mac), share the calendar and copy its public link. It usually starts with webcal://.
  • Outlook / Microsoft 365 — open the calendar’s settings, choose Publish, and copy the ICS link.

Keep this link private — anyone who has it can see that calendar’s events.

Add a calendar

  1. Open Settings from the main menu — the left sidebar on desktop, or the menu behind your avatar on mobile.
  2. Select the External calendars tab.
  3. Select Add a calendar.
  4. Give it a Name, for example Personal.
  5. Paste your ICS link into Calendar link (ICS URL).
  6. Choose a Colour — its events show as an outlined pill in that colour, so they’re easy to tell apart from your shifts.
  7. Select Save. ShiftSync checks the link and, if it’s a calendar it can read, adds it.

If you see “We couldn’t read a calendar at that link”, double-check you copied the whole ICS/webcal link and that it’s the private/secret address rather than the calendar’s web page.

Hide or remove a calendar

  • To stop showing a calendar’s events without deleting it, select Edit and untick Show this calendar’s events.
  • To remove it completely, select Remove and confirm.

How your events appear

Your calendar’s events sit alongside your shifts, in the colour you chose:

  • In the month view they’re outlined pills (your shifts stay filled), so it’s clear which are ShiftSync shifts and which come from another calendar.
  • In the agenda and the selected-day panel they’re listed under each day, labelled with the calendar they came from.

Events refresh automatically, so changes you make in your calendar app show up in ShiftSync a little while later.
